Record Groups and Classification Guide

Introduction

The Saint Peter’s College Archives catalog of archival holdings has been broken down into various record groups according to the subject area each represents. At the present time, this collection encompasses approximately 900 cubic feet worth of documentary material, and is growing at a steady rate. Within this classification system, the main number denotes primary record group (ex: RG-1), the secondary number – a specific topic (ex: 1.0), and the title is self-explanatory (ex: “Act of Incorporation, By-Laws and Charter, 1872”). Not all assigned classification numbers represent holdings, but were assigned in the event that matereials relating to these hierarchical designations are located or otherwise accessioned.  In some cases the suffix “A” (ex: 1.0/A) is used. This denotes a non-traditional, or “artificial” collection which was created with materials that were accumulated by the College Archives individually (i.e: flyers, brochures, memoranda, etc.), and not in a more consolidated fashion. When it comes to all other collections, provenance has remained consistent in accordance with the office of origin.

Since this collection is not static, more entries will be added as holdings increase. At the present time, the depth and breadth of each record group varies. The average size is between 1-3 cubic feet, but some, such as the President, Academic Vice-President, and Academic Dean, for example,are larger. Information within each sereies varies. Some records are subject to limited or restricted use. The age and sensitivity of the material in question determines availability.
